The Opportunity

We are seeking a highly organized and proactive Office Manager to join our client's fast-paced Austin office. The Office Coordinator / Office Manager is responsible for ensuring the smooth running of office operations. You will be instrumental in maintaining a productive, efficient, and engaging workplace through superior administrative support, operational management, and team coordination.

Key Responsibilities

  • Office Operations & Management:

    • Oversee the day-to-day operations of the office, ensuring everything runs smoothly and efficiently.

    • Maintain office supplies and inventory, ensuring stock levels are adequate and within budget.

    • Coordinate all office maintenance, liaising with vendors for cleaning, repairs, and security services.

    • Manage all office equipment, troubleshooting issues, and ensuring timely servicing or replacement as needed.

    • Track office expenses, process invoices and expense reports, and work with the finance team to ensure cost efficiency.

  • Administrative & Project Support:

    • Provide general administrative assistance to company directors and project teams, including scheduling, preparing documents, and managing correspondence.

    • Organize and maintain both physical and digital filing systems for critical project documents, contracts, and records.

    • Serve as the first point of contact, handling incoming calls, emails, and mail, and directing them to the appropriate person or team.

    • Assist with project-specific administrative tasks, such as subcontractor paperwork, new project setup, and compliance tracking.

  • Culture & Team Support:

    • Foster a welcoming and supportive office environment that reflects the company's culture and values.

    • Serve as the go-to person for employee inquiries related to office processes and resources.

    • Support the onboarding process for new employees, ensuring they have the necessary resources to feel comfortable in the workplace.

    • Plan and coordinate internal meetings, team-building activities, and company events.

    • Arrange travel bookings and accommodation for employees as required.

  • Brand & Social Media Management:

    • Manage the company’s social media accounts (LinkedIn, Instagram, etc.) to ensure brand consistency.

    • Create and schedule posts to share project updates, celebrate team wins, and promote company events.

Qualifications & Skills

  • Proven experience as an Office Manager, Administrative Manager, or similar role, preferably within the construction, architecture, or engineering industry.

  • Exceptional organisational skills with a strong ability to manage tasks effectively.

  • Impeccable attention to detail and a commitment to producing high-quality work.

  • Excellent communication and interpersonal skills, with a talent for establishing rapport.

  • Technological proficiency with Google Suite and Microsoft Office. Experience with construction management software (e.g., Procore, Viewpoint) is highly desirable.

  • A proactive, problem-solving mindset and a willingness to take action.

  • Demonstrated ability to work collaboratively in a team environment while also pursuing goals independently.
