Insurance Case Administration Specialist

About the opportunity
Our client is a well-established retirement planning and insurance firm in Puerto Rico, seeking a detail-oriented Insurance Case Administration Specialist to join its operations team. This role is central to how the business runs — you'll own the full lifecycle of every insurance case, from initial submission through issuance and policy delivery.

What you'll do day-to-day
- Access and monitor carrier portals daily (Lincoln Financial, ANICO, F&G, Protective, Corebridge Financial, and others) to track case status and identify changes
- Maintain and update a centralized Excel case-tracking table with accurate status, pending requirements, and a defined next step for every case — without exception
- Follow up on outstanding requirements within 48 hours; coordinate with agents and escalate stalled cases when needed
- Move cases through all stages: Submitted → Awaiting Requirements → Underwriting → Issued → Funded
- Update HubSpot CRM with issue dates and case notes to trigger automated client follow-up workflows
- Coordinate policy delivery, including DocuSign e-signature workflows, client notifications, and physical kit coordination where applicable
- Prepare and send professional email communications to carriers, agents, and clients as needed
What we're looking for
- 1–3 years of experience in case management, insurance operations, administrative roles, or customer service
- Solid working knowledge of Microsoft Excel — filtering, sorting, maintaining data tables
- Comfortable navigating multiple digital portals and systems at the same time
- Experience managing professional email in Outlook and/or Gmail
- Highly organized with strong attention to detail and a sense of urgency
- Able to handle sensitive client information with discretion and professionalism
- Strong written and verbal communication in Spanish; functional English (reading/writing) is a plus for carrier portals and email
- Must be available to work fully on-site in Hato Rey
Nice to have
- Prior experience in the insurance, annuities, or financial services industry
- Experience with HubSpot or similar CRM platforms
- Familiarity with DocuSign or other e-signature tools
- Experience owning processes end-to-end through to closure/
Compensation & benefits
- Hourly rate $13.50 / hr
- Vacation leave 15 days/year
- Sick leave: 12 days/year
